Deal Pipeline¶
A visual Kanban board showing your open deals organized by stage. Drag deals between stages to track their progress through your sales process.
Using the Pipeline Board¶
- Go to CRM > Deals (the board is the default view)
- Deals appear as cards in their current stage columns
- Drag and drop a deal card to move it to the next stage
- Click a deal card to open its details (in a side panel or full page — see Choosing how details open)
Each column shows the stage name, deal count, and total value. The board shows open deals only — won and lost deals move off the board (see Deal status vs. stage).
Switching pipelines¶
If your organization runs more than one sales process, use the pipeline chooser (the dropdown next to the "Deals" title) to switch between pipelines. Each pipeline has its own stages. To add another pipeline, open the chooser and click Add New Pipeline (see Multiple pipelines).
Deal status vs. stage¶
This is the key concept for deals:
- Stage is where a deal is in the process — Qualification, Proposal Sent, Negotiation, and so on. You move a deal through stages by dragging its card.
- Status is the outcome — Open, Won, or Lost. You set it with the Won and Lost buttons on the deal, not by dragging to a stage.
Won and lost are no longer stages. An open deal sits in a stage on the board; marking it Won or Lost takes it off the board and records the outcome. You can Reopen a won/lost deal to put it back in play.
Default pipeline stages¶

Stages are fully configurable — your admin can add, remove, rename, or reorder them in Pipeline Settings.
Deal cards¶
Each deal card shows:
- Deal title
- Customer or lead name
- Deal value
- Priority indicator
- Assigned owner
- Time in current stage
- Next-activity indicator — a coloured dot for the next scheduled follow-up: green = upcoming, red = overdue, grey = no activity scheduled (a nudge to plan one)
- Rotting indicator (if the deal has been in a stage too long)
Sorting the board¶
Use the Sort control in the toolbar to order the cards within every stage:
- Pick a field from the Sort by dropdown:
- Next activity (default) — deals with the soonest follow-up first; deals with no activity fall to the bottom
- Deal title, Deal value, Expected close date, Deal created, Deal updated
- Use the arrow button next to it to flip between ascending and descending
Your choice is remembered on this device.
Choosing how details open¶
Open the layout menu (the gear icon in the toolbar) to personalise the board. Settings are saved on your device.
Stage view
- Default — fixed-width columns; scroll sideways when there are many stages
- Fit to screen — columns shrink so every stage fits the screen width, no sideways scrolling
Detail view — what happens when you click a deal
- Side panel — opens a panel beside the board so you keep your place in the pipeline
- Full screen — opens the full deal page
The side panel and the full page show the same thing (details, actions, and tabs). From the panel, Open full view jumps to the full page.
Multiple pipelines¶
Multiple pipelines are always available — for example:
- A construction company may run one pipeline for government tenders and another for private clients
- A services company may run one pipeline for new business and another for renewals
To add one:
- Open the pipeline chooser (next to the "Deals" title) and click Add New Pipeline — or go to Settings > CRM > Pipeline Settings
- Give it a name and add its stages
- Optionally set it as the Default — new deals created without a chosen pipeline land here
Each pipeline has its own stages. A deal belongs to one pipeline and moves through that pipeline's stages.
Stage transitions¶
Some stage moves may have rules configured by your admin:
- A stage change may be blocked until certain fields are filled
- A stage change may require approval from a manager
- Automations may trigger when a deal enters or exits a stage (e.g., send a notification, create a follow-up)
Marking a deal won or lost¶
- Open the deal
- Click Won, or click Lost and enter a reason
- The deal leaves the board and its status updates
Use Reopen on a won/lost deal to return it to open and back onto the board.
Converting a won deal to a project¶
When a deal is won:
- Open the deal detail
- Click Convert to Project
- Enter the project name, start/end dates, and budget
- Optionally select a project template
- Click Create Project
The deal is linked to the newly created project.
